Overview

  • To work within the Bid Office as a Presales Bid Manager, assisting with the scoping, definition and subsequent authoring of IT fulfilment, professional services and managed service bids (main focus) and proposals with a value of ~£100k to £10m
  • Working as part of a successful bid office, the role involves supporting the Head of Bid Management / Client Services Director in providing a high quality and efficient bids and proposals on behalf of our Sales Account Managers.
  • Primary responsibilities include a range of activities from initial qualification and validation new presales opportunities, to the completion of proposals, PQQs, RFIs, RFPs and formal Tenders

Responsibilities

1.        Assist in the formal qualification process in order to assess opportunity suitability against our broad matrix of products, solutions and services, before making a recommendation alongside potential resource requirements / costs. For strategic opportunities, carry out additional deal profiling, prior to presenting it to the Ultima leadership team to seek approval to bid.

2.        Adhere to the existing bid lifecycle process, ensuring that submissions are commensurate with Ultima’s commercial, strategic and operational objectives, while meeting the deadlines and conditions laid out by the Customer or Ultima Account Manager.

3.        In conjunction with the wider virtual teams, help develop an understanding of the client’s business goals, outcomes and drivers, identifying ‘win themes’ and ensuring they are articulated within our responses.

4.        Develop proposal and bid submissions, leveraging existing - or working with our SMEs to develop new - technical, compliance, governance and regulatory information to accompany bids and expressions of interest.

5.        Attend Customer meetings and workshops (both in house, remote / virtual and at client site) as required, in order to qualify, scope, progress and formally present the proposal or bid to the Customer, alongside our subject matter experts and sales team.

6.        Follow established processes to ensure that all correspondence, collateral and documentation relating to a bid is filed in the appropriate locations, so that it can be accessed or referenced by the wider team.

7.        Where new collateral / IP is written and approved as a result of completing Tenders, PQQs, RFIs and RFPs, ensure that the existing knowledge base is updated, so that the information is made available to support subsequent presales engagements.

8.        Where required, undertake non-technical compliance reviews, ensuring that consultant-led proposals meet the customer’s requirement, are standardised in accordance with our guidelines and templates, are commercially accurate, and represent the company’s experience and capabilities in the best way possible in order to secure the opportunity.

9.        Contribute towards Ultima’s on-going presales improvement strategy (under the direction of the Head of Bid Management), helping to review and improve upon win / loss rates.

10.     Develop an excellent understanding of our go-to-market strategies, packaged services, capabilities and key service areas, in order to help qualify, advise and maximise new business generation opportunities.

 

ESSENTIAL KNOWLEDGE, SKILLS & EXPERIENCE

 

 

·       Previous experience working for an IT Reseller, Managed Services Provider (preferred) or similar services organisation in the IT industry.

·       Degree or equivalent professional qualification.

·       Three or more years’ experience of the IT industry with a general awareness of technologies and solutions across the following disciplines - Workspace, Data Centre and Cloud, Infrastructure Automation, Collaboration, Networking and Security.

·       One or more year’s practical bid or proposal writing experience, ideally for an IT Managed Service Provider.

·       Ability to own bids from initial definition through to submission and subsequent closure with minimal supervision.

·       First class documentation (in English) with experience of writing and delivering structured bid responses.

·       Excellent customer-facing skills, with the ability to present a bid to senior staff, alongside the Ultima development/virtual team.

·       An eye for detail, and a thorough and methodical approach to quality assurance and the development of their own work.

·       Advanced user of the Microsoft Office suite of products (specifically Word, Excel and PowerPoint).
